I just talked to the notary.
He said the following:
1. We need a protocol that documents the changes of the "Satzung"
(complete diff from the initial version of the constitutional assembly)
and records the confirmation of all members. (Etwa: Hauke Petersen
stimmt der Satzungsänderung mit Email vom 7.2.2017 zu). It should
mention that these changes have been done to conform to the tax
requirements.
The notary was uncertain about this email process, but thinks it might
get through.
2. With the original protocol (incl. signature sheet), this new
protocol and the new Satzung, we need to go to the notary. Surprisingly,
it suffices nowadays that only a "vertretungsberechtiger Vorstand"
appears, which is actually each member of the Vorstand. So we actually
don't your presence, Thomas, different from what I had assumed up until
now. (Sorry for the confusion - apparently this has changed).
In summary: Can you provide a corresponding protocol together with your
signature, Thomas, and send (with scanned signature)?

Over the course of the last months we got some feedback from the German
tax
authorities regarding our articles of association. To be able to apply
for a
tax reduction as an association for common goods we had to make some
